Photo Upload Guide

How It Works

  • Register your boat
  • Add team members one by one using the “Add Team Member” button
  • Upload each member’s photo and passport photo directly in the form
  • Photos are immediately linked to that member

 

Steps

  • Click “Add Team Member”
  • Fill in all member details
  • Click “Choose File” under Photo
  • Select the member’s photo (JPG, PNG, or GIF, max 5MB)
  • Click “Choose File” under Passport Photo
  • Select the passport photo
  • Click “Save Member”
  • Photos are uploaded and saved automatically

How It Works

  • Create a ZIP file with all photos
  • Upload Excel first, then upload ZIP with photos
  • System automatically matches photos by member name or Passport ID in the filename

 

Step-by-Step Instructions

Step 1: Prepare Your Excel File

Download the template and fill the data

Important: Passport ID is used to prevent duplicate imports. If a row has the same Passport ID for the same boat, the existing member is updated.

Step 2: Prepare Your Photo Files
  • Collect all photos for your team members
  • Rename each photo so the filename contains the member’s full name or Passport ID
  • Use simple filenames without spaces (use underscores instead)
  • Supported formats: JPG, JPEG, PNG, GIF
  • Maximum size: 5MB per photo
  • Passport/ID images: include passportididentity, or document in the filename

Example file structure:

Step 3: Create a ZIP File

Windows:

  • Select all photo files
  • Right-click → Send to → Compressed (zipped) folder
  • Name it something like team_photos.zip

Mac:

  • Select all photo files
  • Right-click → Compress X Items
  • Rename to team_photos.zip
Step 4: Upload to WordPress

System extracts and matches photos automatically

First: Import your Excel file with team member data

  • This creates all team member records
  • Rows with matching Passport IDs update existing team members

Then: Upload the ZIP file with photos

  • Go to boat registration page
  • Click “Upload Photo ZIP”
  • Select your team_photos.zip

If you imported team members via Excel without photos:

  1. Go to “My Boats”
  2. Click “View / Update” on your boat
  3. You’ll see all team members listed
  4. Click “Edit” on each member
  5. Upload their photo and passport photo individually
  6. Click “Save Changes”

Photo Requirements

File Specifications

  1. Formats: JPG, JPEG, PNG, GIF
  2. Maximum size: 5MB per photo
  3. Recommended size: 800×600 pixels or larger
  4. Aspect ratio: Any (will be resized automatically)

 

Photo Guidelines

  • Clear, recent photo of the person
  • Face clearly visible
  • Good lighting
  • Passport photo should match passport standards:
  • Plain background
  • Face forward
  • Neutral expression
  • No sunglasses or hats

 

Passport Photo Standards

  • White or light-colored background
  • Face centered
  • Full face visible
  • No shadows
  • No filters or alterations

 

Filename Best Practices

Good Filenames ✅

  • john_doe.jpg
  • john-doe.jpg
  • johndoe.jpg
  • member_001.jpg
  • AB123456.jpg
  • john_doe_passport.jpg
  • CD789012_id.png

 

Bad Filenames ❌

  • John's Photo.jpg (contains apostrophe and space)
  • photo (1).jpg (contains parentheses)
  • IMG_1234.jpg (not descriptive, hard to match)
  • DSC_5678.JPG (camera default name)

 

Tips

  • Use lowercase letters
  • Use underscores or hyphens instead of spaces
  • Keep names short and descriptive
  • Include the member full name or Passport ID in the filename
  • Include passport/id wording in passport image filenames

Photos not appearing after ZIP upload

Check:

  1. Filenames contain the correct member details
  2. Filenames contain the member full name or Passport ID
  3. Passport image filenames contain passport, id, identity, or document
  4. ZIP file is not corrupted
  5. Photo files are valid image files

 

Solution:

  • Verify filenames include the member full name or Passport ID
  • Add passport/id wording to passport image filenames
  • Try uploading individual photos manually

 

ZIP upload fails

Possible causes:

  • ZIP too large (max 50MB typically)
  • Corrupted ZIP file
  • Server upload limit

 

Solutions:

  • Split into multiple ZIP files
  • Compress images before zipping
  • Upload individual photos instead

 

Photos are too large

Solution:

  • Resize images before uploading
  • Use online tools like TinyPNG or Squoosh
  • Target 800×600 to 1200×900 pixels
  • Compress to reduce file size

 

Wrong photo assigned to wrong member

Cause:

  • Filename matched the wrong member name or Passport ID

Solution:

  • Check filenames include the correct member full name or Passport ID
  • Re-upload correct photos individually

Recommended Workflow for Large Teams

  1. Prepare team data in Excel first
  2. Collect and rename all photos so filenames include full name or Passport ID
  3. Add passport/id wording to passport image filenames
  4. Create ZIP file with all photos
  5. Import Excel file (creates member records)
  6. Upload photo ZIP (adds photos to members)
  7. Verify all photos are correctly assigned
  8. Fix any missing photos individually if needed

Alternative: Use Team Member Photos Later

If you need to register quickly without photos:

  1. Import team members via Excel
  2. Complete registration and payment
  3. Add photos later by:
    • Logging into your account
    • Going to “My Boats”
    • Editing each team member
    • Uploading photos one by one

This allows you to register first and add photos at your convenience!
